Resumen de Indexação em protocolos e arquivos correntes universitários: A representação e os usos da informação

  Pesquisa que aborda a indexação no âmbito da fase de produção documental nas universidades, ou seja, na esfera dos protocolos e arquivos correntes. Estuda a natureza e a dimensão histórica do conceito de indexação nas correntes da organização do conhecimento. Analisa as diferenças entre os processos de descrição arquivística e indexação. Realiza revisão bibliográfica acerca da indexação em arquivos nos periódicos Archivaria, The American Archivist, Journal of Documentation, Knowledge Organization e The Indexer. Os protocolos registram, controlam o fluxo e informam sobre o trâmite dos documentos em um sistema de arquivo. No entanto, também devem ser explorados como uma instância de poder da universidade que subsidia a tomada de decisão da sua gestão, visando o planejamento de ações na instituição. O campo empírico desta análise é a Universidade Federal Fluminense (UFF). Os resultados dessa pesquisa indicam que a indexação é uma prática usual nos protocolos e arquivos correntes, no entanto, há poucos trabalhos que problematizam o tema tanto na literatura da Arquivologia, quanto da Ciência da Informação. Conclui-se que a indexação facilita a recuperação do documento de arquivo na fase de sua produção, desde que esteja vinculada a uma política que compreenda os usos de tais documentos pela comunidade que os sistemas de recuperação da informação atendem.

  This research aims to approach the indexing within the scope of records creation phase in universities, such as registries and current records. It also studies the nature and historical dimension of the concept of indexing amongst knowledge organization theories It analyzes the differences between the processes of archival description and indexing. It reviews the bibliography on indexing in archives in articles published by Archivaria, The American Archivist, Journal of Documentation, Knowledge Organization and The Indexer journals. The registry offices set down the records, control their work flow and report about their business processes in record keeping system. However, this system should also be explored as an instance of power within the universities since it supports management decisions in order to plan institutional actions.

  The empirical field of this analysis is the Universidade Federal Fluminense (UFF). Despite the fact that the results of this research indicate that indexing is a common practice in registries and current records, - there are very few studies that explore this subject within the field of Archive and Information Sciences. The conclusion is that indexing facilitates the retrieval of the archival record - at the stage of its production- as long as it is linked to a policy that understands the uses of such records by the community that these systems attend.
